system as the business has grown.
Component
1 - Customer and Product Management: PUHL's basic system
manages all customers and investment products, such as individual
and group insurance policies. The system is designed to capture
and track the relationships between existing customers or
new leads, and to manage the products they have purchased.
The system
automates the first part of the sales cycle, which tends to
be very administrative. A client profile is created from a
number of lead sources, and all relationships and purchased
products are recorded. Client profiles are flagged well in
advance of their policy expiry date, ensuring that there are
no lapses in coverage.
To introduce
new products and services offered by the firm, the system
executes a bulk send of information. All correspondence, such
as letters, envelopes, and product materials are personalized.
Correspondence is sent automatically, utilizing the most economical
method of communication the client has available, from email
to fax to regular mail. The resulting benefit is an increased
the level of customer service, while decreasing the associated
labour and communication costs.
Component
2 - PHSP Administration: The PHSP system is a complex
corporate benefit package that faces strict legislation pertaining
to financial reporting. PHSP covers hundreds of companies
and individuals who carry a myriad of policies, each divided
into multiple sub-categories. The complexity of the system
stems from the conditions of each employee's benefits package,
as each person belongs to many different classes with differing
conditions. Adding to the complexity are the stringent federal
regulations pertaining to claim procedures, taxes and reporting.
Hundreds
of man-hours would be required to process and monitor claims
manually. Instead, TKCS has designed a system of "managing
limits" that significantly automates manual processes,
incorporates a series of checks and balances to flag certain
transactions, and coordinates financial disbursements and
statements.
